Hi all you have access to this page as your a community volunteer for Haddington Community Council.   here you will find help and information.

Volunteering can really help you to feel a part of your local community. It will give you experience that you can use to show employers and education providers the value you have added and the skills you’ve gained in return for your time and effort.

Event Volunteering

Information on event volunteering is being rewritten to take into new processes and rules on the back of the new systems in place at ELC.

Want to Volunteer?

We need volunteers for the following.

  • Marshals: – Events such as parades or gatherings requires a number of people who can marshal and keep the public safe. we always need between 10 & 20 per event.
  • Planners: – HDCC subgroup the Haddington Events Group put on a number of events during the year and we need people to help organise these events,
  • Coordinators:-  At events, there are lots of things going on so we need people with good skills in helping coordinate people to the right places and tasks.
  • Labourers:- A lot of the events we do need people to put out barriers, erect tents, put out cones, erect lights etc. so someone who has more of a physical focus.
  • Entertainers:-  To try and keep things local we always will try to use local volunteers to provide entertainment at events.  face painters, crafters and performers.
  • Admin:- We need people to help with the admin side of things,  contacting suppliers, liaising with Police and East Lothian Council, Risk assessments, TTRO’s and other paperwork.
  • Fundraisers:- HDCC budget is extremely limited and has to stretch across lots of things and while we do not need to make money on all events we want to make sure we can help raise funds to improve or have more events.
  • FIRST AIDERS:  we always require first aiders.  if you are first aid certified then you could help us.
  • Resources:- one of the big difficulties is resources.  got a van you can help move things to a site?  access to equipment that may benefit an event?  it all helps.

High Viz Vest Use

All volunteers should wear  a High Viz Vest. if you do not have one then you will be able to pick one up at the briefings before each event.

Why we need your personal information
Haddington Community Council (HCC) are compiling a list of volunteers to assist in delivering their Resilience Plan to help the Community.
Your Information will be used to coordinate a volunteer effort by HCC. Your information may also be used to prevent and detect fraud.

 Members of the Haddington community council resiliency group.
 Services within East Lothian Council helping with this emergency.
Your personal information will not be transferred outside of the EU.

How long will we keep your personal information?
Data will be reviewed annually and updated or destroyed as per request. The longest we would ever keep data without updating is 2 years. a record of this will be kept in the annual review of resiliency plan

Your rights
1. You have the right to be informed about how your information will be used.

Complaints
We take your privacy seriously, and would like to know about your concerns so that we can address them as soon as possible. If you wish to make a complaint, we recommend that you contact the HDCC using the contact details at the start of this Privacy Notice.

High Viz Vest Use

YOU should only respond or do things with a High Viz Vest. our numbers are limited so it may be a case of pick up and drop off when requested.
Each time we help we must fill in this form to say when and what we used the Vest for.  This allows us to track for security reasons and comply with insurance.

EMERGENCY PROTOCOLS

IF YOU RECEIVE AN EMERGENCY MESSAGE PLEASE DO THE FOLLOWING:-

  • RECORD AS MUCH INFORMATION AS YOU CAN, NAME, ADDRESS, PHONE NUMBER, HEALTH ISSUES ETC.
  • CONTACT THE VOLUNTEER RESILIENCE GROUP – PUT A CALL OUT FOR HELP
  • WHEN YOU HAVE 2 RESPONDENTS (UNLESS ITS DROPPING OUT SHOPPING) PRIVATE MESSAGE THE TWO PEOPLE WITH THE DETAILS OF THE CALL OUT
    • NAME, ADDRESS, PHONE NUMBER PRE-ARRANGED TIME FOR VISIT

IF YOU ARE A RESPONDENT VOLUNTEER PLEASE FOLLOW THESE PROTOCOLS:-

  • IF YOU ARE VISITING A HOME – TWO PEOPLE TO ATTEND (PREFERABLY 1 MALE AND 1 FEMALE)
  • IDENTIFY YOURSELF TO THE PERSON
  • TRY AND STAY AT LEAST 2 METRES AWAY FROM THE PERSON AT ALL TIMES
  • COLLECT AS MUCH INFORMATION AS YOU CAN AND ARRANGE TO CALL BACK AT A SET TIME, WHETHER IT BE WITH FURTHER INFORMATION OR THEIR SHOPPING

IF YOU ARE DROPPING OFF SHOPPING AFTER COLLECTING IT ON THEIR BEHALF (REMEMBER THIS SHOPPING SHOULD BE PAID DIRECTLY TO THE SHOP OVER THE PHONE IF NECESSARY)
PUT BOX OR BAGS ON THE DOORSTEP, EITHER RING THE BELL OR KNOCK LOUDLY ON THE DOOR…
THEN STAND WELL BACK, AT LEAST 2 METRES.

IF THE PERSON LOOKS LIKE THEY ARE IN URGENT NEED OF MEDICAL HELP….. PHONE 999 IMMEDIATELY. 

OR IF YOU THINK IT IS NON URGENT, BUT THAT THEY NEED MEDICAL HELP, ASK THEM TO RING 111 NHS 24.

INSURANCE

As a volunteer of the Community Resilience group you are covered 3rd party.
Community groups who are not part of the East Lothian resilient community process are not covered by our insurance.
Each day a person undertakes resilient community activities they must sign in (see top of page for vest tracker form)
Each person deployed must wear a high visibility vest.
